1. Information We Collect
Depending on how you interact with us, we may collect:
Contact Information
Your name, telephone number, email address, billing address, service address, company name, and the contact information of an authorized representative or property manager.
Requests Sent Through Our Website’s Request Form
When you ask for a quote or a walkthrough through the request form on our website, we collect:
- your first and last name, email address, and phone number;
- the ZIP code of the property (not the street address; we ask for the full address when we follow up), and any other ZIP codes you list for more properties;
- the type of property (home, rental or multifamily, or commercial) and, for businesses and rental properties, the company or property name and your role if you give them;
- the services you choose, or your own description of what you need;
- your answers about the work, such as size, condition, timing, and anything else you tell us;
- photos of the work, if you choose to add them;
- if you used our price calculator, the answers you gave it and the price range it showed you;
- your optional choices: how and when you prefer to be contacted, and how you heard about us;
- the page you came from and any campaign tags in the link you followed (such as utm_source); and
- technical information used to keep the form working and to stop spam, including a scrambled (hashed) form of your IP address.
Please don’t include door codes, alarm codes, payment details, or health information in the form. If you add photos, please leave out people, documents, and door or alarm codes.
Service and Property Information
Information needed to estimate, schedule, and perform services, including property size, requested work, service preferences, photographs, parking instructions, pets, building requirements, and property-access information.
Access Information
When necessary, we may receive gate, alarm, entry, lockbox, key, or access-code information. Access information is limited to personnel who reasonably need it to coordinate or perform the service.
Quotes and Transaction Information
Information contained in requests, quotes, approvals, change orders, work records, invoices, deposits, payments, refunds, and account histories.
Payment Information
Payments are handled by third-party payment processors. Cyrus Services generally does not directly store complete payment-card numbers. Payment providers process and retain information according to their own policies.
Communications
Emails, telephone calls, text messages, client-portal communications, photographs, reviews, service requests, and other communications between you and Cyrus Services.
Website and Device Information
Our website and technology providers may collect information such as IP address, browser type, device type, referring website, pages visited, approximate location, cookies, and similar technical information.
Employment Information
If you apply for employment, we may collect contact information, work history, references, qualifications, availability, driving information when relevant, and information necessary to evaluate or administer employment.
If you apply through our website’s job application form, we collect your name, email address, and phone number; the position you’re applying for; whether you can work full time or part time, the hours you can work, and when you can start; your experience; whether you meet our minimum age and can legally work in the U.S.; whether you have a valid driver’s license; when you’re available for a phone interview; the page of our website you applied from; and technical information used to keep the form working and to stop spam, including a scrambled (hashed) form of your IP address.
2. How We Collect Information
We may collect information:
- Directly from you;
- From an authorized representative, property manager, landlord, tenant, or referral source;
- Through our website, request forms, client portal, telephone, email, or text systems;
- From our personnel while estimating or performing services;
- From scheduling, payment, accounting, communication, or other business-service providers; and
- From public sources when reasonably necessary for legitimate business operations.
Requests you send through our website’s request form are saved by our website in encrypted form and then sent to Jobber, our field-service management system. Photos you add to a request are saved by our website the same way and linked to your request in Jobber, where they may be added to our client records. They are never attached to the emails our website sends. If Jobber can’t be reached at that moment, the website keeps the request and tries again, and our staff are alerted if it still can’t be delivered. Section 9 explains how long the website’s copy is kept.
After you send a request through our website’s request form, our website normally emails you a short confirmation at the email address you gave. It contains your request’s reference number and our contact details, not your answers or other details, and we don’t track whether you open it or click its links.
Job applications sent through our website’s job application form are handled the same way as requests: our website saves them in encrypted form and sends them to Jobber. Requests and applications sent through Jobber’s own forms (for example the backup links to our previous forms) go directly to Jobber and are not stored by our website.
After you send a job application, our website normally emails you a short confirmation with its reference number and our contact details, not your answers, and we don’t track whether you open it or click its links.
3. How We Use Information
We may use information to:
- Respond to inquiries and prepare quotes;
- Schedule, coordinate, and perform services;
- Access the property as authorized;
- Communicate confirmations, reminders, arrival information, and service updates;
- Process deposits, invoices, payments, and refunds;
- Maintain service histories and client records;
- Document property conditions and completed work;
- Address quality concerns, safety issues, damage claims, and insurance matters;
- Provide customer support;
- Improve our services, training, website, and client experience;
- Protect our clients, personnel, systems, and business;
- Maintain accounting, tax, insurance, employment, and legal records;
- Comply with applicable legal and regulatory requirements; and
- Send marketing communications when permitted and subject to your communication choices.
4. How We Share Information
We may share information as reasonably necessary with:
Employees and Authorized Providers
Employees, team leads, technicians, and authorized service providers who need information to estimate, schedule, coordinate, or perform services.
Business-Service Providers
Companies that support our business, including field-service management, scheduling, communications, cloud storage, document-signature, website hosting, payment processing, accounting, analytics, and insurance providers.
These currently include Jobber, which we use for requests, quotes, scheduling, client communication, and invoicing, and which receives the requests and job applications sent through our website’s forms; Google Workspace, for email; Kinsta, which hosts this website, including the website’s short-lived, encrypted copy of each request and job application, and, as a backup, delivers the website’s emails to our staff; and Postmark, which delivers the emails our website sends, including the confirmation we email you after you send a request or job application. Those staff emails contain a request’s or job application’s reference number and a link, never your name, contact details, description, or answers.
Professional Advisers
Attorneys, accountants, insurers, claims representatives, consultants, and other professional advisers.
Legal and Government Recipients
Regulators, law enforcement, courts, or other recipients when disclosure is required by law or reasonably necessary to protect our rights, property, personnel, clients, or the public.
Business Transactions
A successor or acquiring organization in connection with a merger, financing, reorganization, sale, or transfer of all or part of the business, subject to appropriate confidentiality protections.
We do not sell or rent personal information. We do not provide personal information to unrelated third parties for their own marketing purposes.
5. Text-Messaging Privacy
If you opt in to text messages, we may send service inquiries, quote information, scheduling messages, appointment reminders, arrival updates, service updates, invoice and payment communications, customer support, follow-up, review requests, and, if you applied for a job with us, messages about your application.
Message frequency varies. Message and data rates may apply.
Reply STOP to opt out. Reply HELP for assistance, call 206-414-9990, or email info@cyrusservices.com.
Mobile telephone numbers, text-message opt-in information, and text-message consent are not sold, rented, or shared with third parties or affiliates for their own marketing or promotional purposes.
Communications providers may process this information only as reasonably necessary to deliver messages, manage our communications, prevent abuse, maintain records, or comply with law.
6. Service Photographs and Videos
We may take limited photographs or videos for estimates, documentation, quality control, safety, project progress, insurance, damage evaluation, or confirmation that work was completed.
Operational photographs are treated as business records. We obtain separate permission before using identifiable property photographs, names, addresses, videos, or testimonials for public marketing.
Photos you send with a request through our website are used only to prepare your quote or complete the service, and are never published without your separate permission.
7. Cookies and Website Technology
Our website and providers may use cookies and similar technologies to operate the website, remember preferences, understand website activity, improve performance, measure advertising effectiveness, and prevent abuse.
You may control cookies through your browser settings. Disabling cookies may affect website functionality.
Our request form does not add cookies. To keep your choices when you go back a step or reload the page, it saves, in your browser for that tab only, the services and property type you chose, your answers to fixed-choice questions, the calculator’s answers and price range, and any campaign tags in the link you followed. It never saves your name, email, phone number, ZIP code, anything you type in your own words, or your photos. The form ignores these saved choices after 2 hours and clears them when your request is sent, and your browser deletes them when you close the tab. Fixture choices and notes from the repair list stay in your browser tab for up to 30 minutes so you can copy them. They aren’t sent to us. Our website analytics record which step of the form was reached, which question needed correcting, and whether a request was received, without any of your answers or contact details.
Our job application form adds no cookies, and nothing you choose or type in it is saved in your browser. Our website analytics record which step of the application form was reached, which question needed correcting, and whether an application was received, without any of your answers or contact details.
8. Information Security
We use reasonable administrative, technical, and physical safeguards appropriate to the information we maintain. These may include account controls, authentication, access restrictions, secure payment providers, and personnel confidentiality requirements.
For requests sent through our website’s request form, the website locks (encrypts) each request with a key kept outside the website’s database, and only our administrators and staff we have given request access to can open it, after signing in. Job applications kept by our website are locked the same way, and can be opened only by our administrators and staff we have given application access to. Photos you add are locked the same way. Before saving a photo, the website removes the location and other hidden details (metadata) that phones and cameras store in it; this doesn’t change what the photo shows. The website’s logs and the emails it sends to our staff contain no customer or applicant details. The forms use spam protections, such as limits on how many requests or applications can be sent in a short time. To apply those limits, to spot a request or application sent twice, and to find your request or application if you ask us for it, the website uses scrambled (hashed) forms of your IP address and your contact details instead of the details themselves.
No storage or transmission method is completely secure, and we cannot guarantee absolute security.
9. Retention
We retain information for as long as reasonably necessary to:
- Provide and administer services;
- Maintain business, accounting, tax, employment, insurance, and legal records;
- Resolve disputes and enforce agreements; and
- Satisfy applicable legal requirements.
When a request sent through our website’s request form reaches Jobber, the website deletes its copy of your details 30 days later. The website deletes any photos you added at the same time, or sooner once they are in Jobber. Photos added to a request that isn’t sent are deleted within a day. It keeps a short record with no personal details: the request’s reference number, dates, status, the services and property type chosen, the page of our website it was sent from, and the matching Jobber record numbers. The scrambled forms described in section 8 are deleted at the same time. A request that needs our staff’s attention is kept until it is resolved, and then for 30 days. Our hosting provider’s backups of the website can keep a deleted copy for 14 to 30 days, depending on the hosting plan, before it is overwritten. Jobber keeps your request, including any photos added to it, as part of our client records, as described above. Postmark keeps a record of each email it delivers for us, including the address it was sent to, for 45 days.
When a job application sent through our website’s job application form reaches Jobber, the website deletes its copy of your details 30 days later. It keeps a short record with no personal details: the application’s reference number, dates, status, and the matching Jobber record numbers. The scrambled forms described in section 8 are deleted at the same time. An application that needs our staff’s attention is kept until it is resolved, and then for 30 days. We keep job applications in Jobber for 1 year after the hiring decision.
Access information and codes are removed or updated when no longer reasonably required, subject to operational, backup, security, and legal-record needs.
10. Your Choices
You may contact us to:
- Request access to personal information we maintain about you;

We may verify your identity before fulfilling a request. Some information may be retained when reasonably necessary for payment, tax, insurance, security, legal, or contractual purposes.
11. Sensitive and Health-Related Information
We do not request or intentionally collect medical records, diagnoses, or detailed consumer-health information as part of our ordinary services.
Clients may provide practical product, fragrance, accessibility, or safety restrictions without disclosing an underlying medical condition. Please do not submit medical records or diagnoses unless genuinely necessary to provide services safely.
If our practices change and we intentionally collect information governed by a specialized health-privacy law, we will provide any additional notice or consent required by law.
12. Children’s Privacy
Our website and services are intended for adults and are not directed to children under 13.
We do not knowingly collect personal information directly from children under 13.
Contact us if you believe a child has submitted information so we can evaluate and appropriately address it.
13. Third-Party Services
Our website and communications may link to third-party services such as payment processors, scheduling portals, mapping providers, or social-media platforms. Their privacy practices are governed by their own policies.
14. Policy Updates
We may update this Privacy Policy as our services, technology, or legal obligations change. The revised policy will be posted with a new effective date.
Material changes will apply prospectively, and additional notice will be provided when reasonably appropriate or legally required.
